Producing Partners was running 8-10 simultaneous client projects - online school launches, personal brand builds, AI product development - with no shared system. Each client lived in a separate Notion workspace or Google Drive folder. Project managers were spending 30-40% of their time on status updates, reporting, and coordination that added no creative value. Client onboarding was a 2-week manual process. Launch content (emails, social, sales pages) was written from scratch for every project. Reporting to clients required compiling data from 5 different sources and formatting it manually each week. The agency had strong creative output but was operationally fragile - one project manager leaving could derail 3 active projects.

// What we built

We built a custom agency CRM and AI operations platform purpose-built for the producing workflow. The CRM centralizes all client relationships: intake forms capture the full project brief, assets are requested and stored in a structured client workspace, project stages track from kickoff through launch to post-launch review, and every client interaction is logged with full history. A project management layer sits on top: task assignments, milestone tracking, production timelines, and team workload visibility across all active projects simultaneously. The content production system is where AI has the biggest impact: every launch now runs through a structured brief-to-assets pipeline. The PM fills a 20-field brief, and Claude generates the full launch content package - email sequence (6-8 emails), sales page copy, social content calendar (30 posts), ad copy variants, and webinar scripts - all in the client's established voice and positioning. Client reporting is automated: n8n pulls data from course platforms, ad accounts, and payment processors weekly, Claude formats it into an executive summary, and the report is sent to the client on a fixed schedule. We also built and deployed custom AI products for 4 of their portfolio clients - AI assistants embedded inside their courses and communities.
