AI Automation with Zapier: When It Works and When to Switch
Zapier is the most recognized automation tool. We use it when it's the right fit — and we'll tell you honestly when Make or n8n is better for your case.
Zapier is the most widely known no-code automation platform with 6,000+ integrations.
Typeform to HubSpot, Gmail to Notion, Stripe to Slack — if you need something running in an afternoon with minimal complexity, Zapier is the fastest path.
AI steps in Zaps
1-2 hrs per task
Zapier now has native ChatGPT and Claude steps. We add AI classification, summarization, or content generation mid-flow — no API credentials needed for simple use cases.
When to upgrade to Make
$100-500/month
If your Zap has more than 3 steps, runs more than 500 times/month, or needs error handling — Make will do it for 5x less cost. We migrate Zapier workflows to Make regularly.
Zapier + custom webhooks
Keeps costs low while adding complexity
We extend Zapier's capabilities with webhook steps that call our own API endpoints — handling complex logic externally and passing results back into the Zap.
How long does a typical Zapier automation take to build?
Most Zapier automations ship in 1-2 weeks from kickoff to production. A single-workflow build (one trigger, one outcome) is our $1,000 Starter tier. Multi-workflow systems with 3-6 connected automations are $2,000-4,000 delivered in 2-4 weeks. Both fixed price, no hourly billing.
Do we need a paid Zapier plan for this to work?
Yes - you keep your Zapier subscription (we build inside your account, not ours). For most automations the standard Zapier plan is enough. If you're hitting plan limits or need premium connectors, we advise on the right tier during scoping. You own everything we build.
Can you connect Zapier to our other tools?
Yes - that is the core of what we build. Zapier integrations to CRMs (HubSpot, Salesforce, Pipedrive), payment platforms (Stripe), comms (Slack, Telegram, WhatsApp), AI APIs (Claude, OpenAI, Mistral), databases, ERPs, and 1000+ other tools via native connectors or custom API calls. We design the architecture before quoting so you see exactly what connects to what.
What happens when Zapier changes pricing or breaks an integration?
We document everything we build so you can swap or migrate if needed. For active retainer clients we monitor Zapier release notes and update affected workflows proactively. If Zapier ever becomes unviable for your stack, we have migration paths to alternative platforms (covered in our Make / n8n / Zapier comparison work).
Who actually builds the Zapier workflows?
Senior engineers on our 5-person team, not subcontractors. Ivan (founder) reviews architecture on every project. Quick two-app connections-type workflows are something we've built dozens of times across e-commerce, B2B SaaS, agencies, and logistics clients. You can see real case studies on the Work page and reviews on the Reviews page.
