// what we automate

6 workflows we automate in Notion

Auto-populate project databases

1-2 hrs per project start

New client signed? System creates the full project structure in Notion — onboarding database, meeting notes template, task board, and shared doc — in under 30 seconds.

Content pipeline automation

2-3 hrs per piece

Idea drops into a Notion database → system assigns writer, sets deadline, generates a brief from the topic using Claude, and creates the writing doc pre-filled with outline and research notes.

Meeting notes to action items

30 min per meeting

Meeting transcript → AI extracts action items, assigns owners, sets due dates, and creates tasks in the Notion project database. Attendees get a Slack DM with their specific items.

Client report generation

3-4 hrs/week

Every Friday: system pulls metrics from connected tools, formats them into a Notion report page, and sends the client a view-only link. No manual compilation.

Knowledge base from Slack

1 hr/day

Important Slack thread saved with emoji → system extracts the key knowledge, formats it as a Notion page, tags it correctly, and adds it to the internal knowledge base.

Hiring pipeline in Notion

2 hrs per candidate

Candidate submits application → system creates Notion card, scores resume with Claude, sends acknowledgment email, and routes to relevant hiring manager based on role.

What teams ask before booking a Notion build

How long does a typical Notion automation take to build?
Most Notion automations ship in 1-2 weeks from kickoff to production. A single-workflow build (one trigger, one outcome) is our $1,000 Starter tier. Multi-workflow systems with 3-6 connected automations are $2,000-4,000 delivered in 2-4 weeks. Both fixed price, no hourly billing.
Do we need a paid Notion plan for this to work?
Yes - you keep your Notion subscription (we build inside your account, not ours). For most automations the standard Notion plan is enough. If you're hitting plan limits or need premium connectors, we advise on the right tier during scoping. You own everything we build.
Can you connect Notion to our other tools?
Yes - that is the core of what we build. Notion integrations to CRMs (HubSpot, Salesforce, Pipedrive), payment platforms (Stripe), comms (Slack, Telegram, WhatsApp), AI APIs (Claude, OpenAI, Mistral), databases, ERPs, and 1000+ other tools via native connectors or custom API calls. We design the architecture before quoting so you see exactly what connects to what.
What happens when Notion changes pricing or breaks an integration?
We document everything we build so you can swap or migrate if needed. For active retainer clients we monitor Notion release notes and update affected workflows proactively. If Notion ever becomes unviable for your stack, we have migration paths to alternative platforms (covered in our Make / n8n / Zapier comparison work).
Who actually builds the Notion workflows?
Senior engineers on our 5-person team, not subcontractors. Ivan (founder) reviews architecture on every project. Auto-populate project databases-type workflows are something we've built dozens of times across e-commerce, B2B SaaS, agencies, and logistics clients. You can see real case studies on the Work page and reviews on the Reviews page.
